HubSpot's Xero and QuickBooks sync vs Billtwin: when the built-in sync is enough
These are two different jobs. HubSpot's own Xero sync moves invoices, contacts, products and payments between HubSpot and Xero, and HubSpot has a separate QuickBooks Online sync. Billtwin does not sync anything: you give it a HubSpot invoices export and a Xero or QuickBooks Online export, and it lists every invoice that is missing, booked twice or different. If the sync runs cleanly, you may not need Billtwin. If totals still disagree at month end, a check shows where. HubSpot's side was read from its pages on 6 November 2026.

Side by side
| HubSpot's Xero sync (checked) | Billtwin | |
|---|---|---|
| What it does | Syncs contacts, products, invoices and payments between HubSpot and Xero, each object one way or two way (HubSpot) | Compares two exports and lists every invoice that is missing in the books, booked twice, or different in total, currency, customer, voided state or payment status, sorted by money at risk |
| Changes your records | Yes, that is the point: it writes to both systems | No. It writes no invoices to HubSpot, Xero or QuickBooks. Files you drop in are read in your browser and never uploaded; the optional HubSpot and Xero connections are read-only |
| Which invoices | Outbound sync covers invoices whose source is HubSpot and that are Open. Draft invoices don't sync to Xero | Every invoice in the two exports you give it |
| Known limits | HubSpot lists some: six currencies (USD, CAD, EUR, GBP, AUD, NZD), invoices with HubSpot's automated sales tax don't sync, credit card fees don't sync, and invoices created in HubSpot must be edited in HubSpot because edits in Xero cause sync failures | Only compares invoices. It does not fix them for you. Connected daily monitoring is a pilot, not a finished feature |
| Seeing problems | The CRM syncs tab in Connected Apps shows records in sync, failing and excluded, with the last edit timestamp | Shows the row number on both sides and a fix for each difference, in an audit pack CSV |
| Timing | HubSpot to Xero changes within a few minutes, Xero to HubSpot every 30 minutes, with a Sync now button | When you run it, for example before month end close |
| Set up | From inside HubSpot. Super Admin or App Marketplace permissions are needed, and custom field mappings need Data Hub Starter or higher | Drop in two files in the browser |
| Price | The page states no price. It says the sync is available with all HubSpot products and plans, and some features need additional subscriptions | Free up to 150 HubSpot invoices per run. Starter $79 a month after a 14-day free trial, up to 1,000 invoices per run. Pro $299 a month or $2,990 a year, no invoice limit |
Source: HubSpot Knowledge Base, Xero sync, opened on 6 November 2026. The table describes the Xero sync. For QuickBooks Online, HubSpot has its own QuickBooks sync with limits of its own; we did not check those here, so read that page before you rely on it. Billtwin compares a HubSpot invoices export with a QuickBooks Online export the same way it does with Xero.
Which one fits
- You need invoices to flow between HubSpot and Xero: HubSpot's own sync is the first party route, runs all day and is built into HubSpot. Billtwin does not replace it, and when the sync is healthy and your totals agree, you do not need Billtwin.
- You sync, or copy invoices by hand, and the totals still do not agree: a controller or bookkeeper checking before close wants a list of what is missing, doubled or different, with the money at risk first. That is Billtwin.
- You are a HubSpot partner taking over a client whose books and CRM have drifted: run the check first, then decide what to fix.
Billtwin is independent and not affiliated with or endorsed by HubSpot, Xero or Intuit QuickBooks.
Questions people ask
Does HubSpot sync invoices with Xero?
Yes. HubSpot's data sync covers contacts, products, invoices and payments, and each can run one way or both ways. It is available on all HubSpot products and plans, though some features need extra subscriptions.
Why are my HubSpot invoices not in Xero?
HubSpot lists causes: only Open invoices created in HubSpot sync outbound, drafts don't sync, invoices with HubSpot's automated sales tax don't sync, and edits made in Xero make a HubSpot invoice fail. The CRM syncs tab shows which records fail.
Does Billtwin replace the HubSpot Xero sync?
No. Billtwin syncs nothing. It compares a HubSpot invoices export with a Xero or QuickBooks Online export and lists the invoices that are missing, booked twice or different.
How much does Billtwin cost?
A check of up to 150 HubSpot invoices per run is free with no signup. Starter is $79 a month after a 14-day free trial and covers 1,000 invoices per run. Pro is $299 a month, or $2,990 a year, with no limit. FOUNDING40 takes 40% off your first payment until 30 November 2026.
Are my invoice files uploaded?
When you drop in two exports, they are read in your browser and not uploaded.
Can I get a refund?
You get a full refund within 14 days of a payment, and you can cancel any time.
